Job Title: Administrative Assistant – Full-Time
Incumbent: OPEN

Reports To: Director of Governance and Executive Relations
FLSA Status: Non-Exempt
Shift: Hourly – approximately 37.5 hrs per week

Broad Functions:

Provide administrative support to members of the Executive Department including, but not limited to, President/CEO, Executive Vice President, Director of Governance and Executive Relations, COO & CFO,  Vice President of Programs.  Act as interface for Executive Department staff with staff, patrons, press, public, theatrical companies and other individuals in areas which are sensitive and confidential.

Duties and Responsibilities:

Executive Staff Operations

  • Provide administrative assistance to the President & CEO. Maintain calendar, schedule and confirm appointments, prepare materials and complete travel arrangements.  Assist with special projects as needed.
  • Provide administrative assistance to the Executive Vice President. Maintain calendar, schedule and confirm appointments, prepare materials and complete travel arrangements. Assist with special projects as needed.
  • Maintain call/appointment assignment sheet for President & CEO. 
  • Receive internal and external inquiries and communications and respond accordingly.  Type and edit internal and external correspondence.  Prioritize and deliver Executive Department mail daily.
  • Provide administrative assistance to President/CEO and/or Vice President of Programs and/or Finance Department in activities related to The Bushnell’s participation in Five Cent Productions and Elephant Eye Theatrical.  Includes, but is not limited to, scheduling and confirmation of meetings and conference calls, completion of travel arrangements, preparation of materials related to outside investors.  Attend Elephant Eye Theatrical and Five Cent Productions member meetings, as needed, including completion of meeting minutes.
  • Execute Bushnell trade and accounts payable procedures for Executive Department and other members of Management Team as needed.
  • Process requests for complimentary/priority purchase of Bushnell in-house tickets and events and engagements at other venues as requested.
  • Serve as staff contact for reserved use of church parking lot by staff and visitors.
  • Greet Executive Department and other guests as needed.
  • Provide support for institutional events as needed.
  • Perform other duties as assigned.

Governance

  • Assist the Director of Governance and Executive Relations in the execution of all Board-related activities including, but not limited to, coordination and set up of meetings, preparation of materials, greeting of guests, internal and external correspondence and maintenance of Board records.
  • Provide administrative support to Director of Governance and Executive Relations in the execution of Board development activities including, but not limited to, the following:
    Trustee, Overseer, and member orientations.
    Committee job descriptions and assignments.
  • Programs of engagement for Trustees, Overseers and other members.
  • Provide support to Director of Governance and Executive Relations in oversight of Governance information and record keeping, including, but not limited to the following:Board records
    By-Laws 
    Nominations Research
    Board surveys and evaluations
    Conflict of Interest
  • Under supervision of the Director of Governance and Executive Relations, serve in a backup capacity to take minutes for the Board of Trustees, Trustee Standing Committees, Ad Hoc Committees and Task Forces, Board of Overseers as needed.

Perform other duties as assigned.
